
HERHACKATHON 2025
TERMS & CONDITIONS (subject to change)
The terms & conditions of participation apply to all participants of HerHackathon 2025, (hereinafter referred to as "HerHackathon") organized onsite by Mechling Bruemmer GbR and presented by Beiersdorf. By registering for the event, the participant confirms that she has carefully read the following terms & conditions of participation and expressly agrees to their contents.
§ 1 Overview and Course of the Event
(1) Mechling Bruemmer GbR, Emil-Bloch-Weg 20, 70469 Stuttgart, Germany is the organizer of the HerHackathon 2025.
(2) The aim of the HerHackathon 2025 is digital product building for women by women: to develop innovative, forward-looking ideas and projects from a female perspective. Within the framework of this event, Beiersdorf departments ("challenge setters"), set certain tasks and requirements ("challenges"). The organizers then pass these on to the participants who are required to meet the requirements as best as possible with their contributions ("solutions"). The best projects developed during the event will be awarded in the end of the event.
(3) The event will take place from Nov 20th- 22nd and will be hosted at Beiersdorf Campus in Hamburg (Beiersdorfstraße 1-9 22529 Hamburg). The organizer is entitled to change the location or time of the event for good reasons.
(4) The pure competition or working time (the "hacking") amounts to a total of approximately 40 hours within the entire event and is distributed over the period from November 20th to November 22nd, 2025. The participants have to ensure their availability during the hackathon.
(5) The final evaluation of the solutions by a jury appointed by the organizer will take place on November 22nd, 2025. The award ceremony will be held on November 22nd, 2025, at approx. 4 p.m. The organizer reserves the right to change the times for evaluation and the awarding of prizes.
(6) The hackathon language is English.
(7) For the event, the teams will work on the development and implementation of their idea, taking into account the requirements of the specific challenge.
(8) During the event, participants may choose to take part in complementary formats designed for personal development, team building, improve pitching, development of solutions, networking etc. This might include workshops, webinars, speed dating, etc.
§ 2 Right to Participate
(1) The HerHackathon 2025 is aimed at women and people who identify as women. Participant can be students, young professionals, professionals, and freelancers with a high level of interest and ideally experience in the design and development of digital applications and processes.
(2) Participants must be at least 18 years old on the day of the event. The organizers reserve the right to verify that the participant is of legal age during the registration process.
(3) Participants must be currently residing in Europe to participate in HerHackathon.
(4) Participants who are employees of a company, a public institution or an educational institution are themselves responsible for ensuring that their participation in the HerHackathon and the development of their idea does not violate the rules of their respective institution or employer.
(5) All participants should be present at the event.
§ 3 Application
(1) Participants must register/apply for the event using the registration form available on the event website. The HerHackathon 2025 has a certain capacity limit for the number of participants. The organizers therefore reserve the right to close registration at any time in advance.
(2) Participants can apply as individuals as well as teams. Individual participants will be combined in teams by the organizers. All teams need to have a minimum of three and a maximum of eight persons. Participants may not belong to more than one team at the same time. After the start of the event a change of teams by the participants/team members is no longer possible.
(3) The organizers select the final participants in coordination with the challenge setters or decide at their own discretion whether to accept a participant for the event. Successful registration via the registration form as well as the final admission to the event will be communicated and confirmed to the participant by the organizer via e-mail.
(4) There is no entitlement to participation in the HerHackathon 2025. The legal process is excluded.
§ 4 Check-in
(1) The onboarding on the official communication platform for the event and some communication/fun activities will already start before the opening of the hackathon.
(2) The HerHackathon 2025 will start officially on Nov 20th, at approx. 1 p.m. During a moderated introduction and company briefings further instructions will be presented, as well as rules, conditions for the procedure and contact persons.
(3) After the introductions, the teams will start working on the challenges.
§ 5 Work Equipment
(1) The IT equipment (hardware and software) necessary for the implementation of the ideas will not be provided by the organizers. Participants must organize their own hardware and software – typically notebooks with software already installed.
(2) Both commercial and freely available software may be used. If commercial software is used, the participants are obliged to have the appropriate licenses for this purpose. The organizers expressly assume no liability for infringements of property rights and copyrights of the participant towards third parties. In the event that claims are made against the organizers and the partners of the event by third parties due to violations of property rights and copyrights of the participant within the scope of the event, the participant shall free the organizers and the partners of the event from all claims of these third parties, insofar as the violation can be attributed to the behavior of a participant.
(3) In case that a special software is required, it will be provided by the challenge setters.
§ 6 Provision of Data
(1) The participants will receive the data sets necessary for the solving of the challenges in the format deemed appropriate by the challenge setter (mail, slack, online uploads, etc.).
(2) The participant commits herself by means of a declaration of secrecy before the start of the competition to process the data received exclusively within the framework of the event, not to grant unauthorized third parties access to all information, knowledge and documents received from the organizers without the explicit consent of the organizers, to protect them from unauthorized access by third parties, to use them only in connection with the event and to delete them again after the end of the event. The declaration of confidentiality by the participants is a mandatory requirement for obtaining the data records.
§ 7 Submission of the Developed Solutions/Results/Contributions
(1) The teams find their ideas, develop and define their contribution themselves. Ideas can already be submitted as part of the registration but are not mandatory for registration.
(2) The solutions developed by the teams must be submitted in full on November 22nd, 2025 until approx. 11 a.m. (time may still be changed) and include the following information:

Name of the team and the individual team members. Each team should name one spokesperson per team, who will present the solution.

(PowerPoint) presentation with a description of the project and the key messages
(3) Additionally and optionally, the submission of pictures or photos, the name of the platform for which the project is being developed, the URL to GitHub, further videos, or similar materials that the teams would like to make available to the jury is also possible.
(4) Entries will be disqualified if they are inappropriate, offensive or violate applicable law. The corresponding evaluation is at the discretion of the challenge setters.
§ 8 Requirements for the Projects
(1) The teams should develop a project in the context of the challenges given by the challenge setters.
(2) Participants may use code that already existed before the HerHackathon 2025. However, the code required to integrate the existing code into the provided platforms must be rewritten at the event. The teams must indicate the scope of the app/application they have already developed before and which ones they have developed during the event.
§ 9 Prizes and Evaluation
(1) Every challenge setter will announce one winner within the announced challenge.
(2) The prize pool contains €8.000. Each challenge winner team wins €1.500. This will be divided equally between the members of the respective winning team. The main winner receives 3.000€ on top.
(3) The winners from each challenge will present their solutions in front of the audience and get feedback from an expert jury. The jury will be nominated by the organizer.
(4) The evaluation criteria for the challenges will include in particular:

(5) The evaluation criteria can be changed throughout the entire competition. The organizers reserve the right to adjust or postpone individual aspects of the evaluation.
(6) The participant has no claim to evaluation and awards. The organizers expressly reserve the right to refuse or terminate the evaluation and awarding of prizes at any time without giving reasons. Under no circumstances is the participant entitled to change evaluation criteria and/or to assert a legal claim for an award against the organizers or other third parties. The decision of the jury is incontestable.
(7) All winners have to provide the EUROPEAN BANK DETAILS to receive the prize. Mechling Bruemmer GbR is unable to transfer to accounts other than within the Single Euro Payments Area (SEPA).
(8) The payment of taxes is the sole responsibility of the awarded persons.
§ 10 Intellectual Property and Rights of Use/Transfer of Rights
(1) All rights to the ideas and/or prototypes remain with the participant. The organizers offer the challenge setters and the participants the opportunity to get in contact to negotiate bilaterally in advance of the event about a license and usage agreement. Mechling Bruemmer GbR excludes itself from any negotiations or claims.
(2) The participant does not have the right to use or display the logos or trademarks of the challenge setters outside the HerHackathon 2025. The same applies to the technologies or IP addresses provided.
§ 11 Code of Conduct
(1) Every participant of the HerHackathon event deserves to be treated with dignity and respect. The organizers are committed to creating an environment in which each individual can develop to their full potential and the firm belief that the greatest strength lies in diversity.
(2) There is no discrimination on the basis of sex, race, color, ethnic or social origin, genetic features, language, religion or belief, political or any other opinion, membership of a national minority, property, birth, disability, age or sexual orientation.
§ 12 General Rules
(1) By applying for the HerHackathon 2025, the participant unconditionally agrees to the rules stated here and the decisions of the organizers.
(2) The organizers reserve the right to change the terms and conditions at any time. It is the responsibility of the participant to regularly check the website for possible changes to the terms & conditions of participation.
(3) The organizers reserve the right to disqualify participants or teams at any time if they violate or cheat against the official conditions of participation, disrupt the course of the HerHackathon 2025 or behave inappropriately.
(4) Within the framework of the event, the participant must comply with all relevant laws and other regulations, in particular the conditions of participation given in this document. The participant may not create any content that is unlawful or otherwise offensive on the event itself or in connection with it.
(5) Should the feasibility of the HerHackathon be endangered in the estimation of the organizers, the organizers reserve the right to do the following at any time:

to interrupt the event and resume it after a certain period

to end the event without distributing prizes
-
to take other appropriate measures.
(6) By registering for or participating in the HerHackathon 2025, the participant agrees to indemnify and hold harmless the organizers, their employees, and vicarious agents in the event of liability during the event, in particular by:

unauthorized interference with the course of the event
-
the infringement of trademark rights or other comparable rights
-
culpable beginning of disputes between team members
-
claims for damages due to injury to persons or damage to property.
§ 12 Data Protection, Privacy and Publicity
(1) All personal data voluntarily provided by participants will be treated in accordance with the applicable data protection laws (General Data Protection Regulation of the European Union). The collected personal data will be used by the organizers to conduct our events and all related services, to provide you with information about those, e.g. in particular to provide the participants with necessary information about the event.
(2) The participant authorizes the organizers to process the personal data entered for the implementation of the Hackathon by the organizers insofar as this is necessary for the implementation of the Hackathon and/or the exercise of the rights of use in accordance with the Privacy Policy. Personal data are name, contact details, and photos as well as further information about the person, if any, which the participant provides.
(3) The participant can withdraw from the event at any time and/or delete or block the data published by them on the website, social networks, or in the press. In order to prevent further processing by the organizers, a revocation against the organizers is required

§ 13 Consent to the Publication of Photographs and Film Recordings
(1) The participant agrees that during the duration of the event, film and photo recordings are made for the purpose of media coverage, advertising and for use in accordance with § 12 (2). The organizers and challenge setters may use the film and photo recordings without any restrictions in terms of time and space.
(2) The organizers and its challenge setters may use the film and photo recordings on various communication channels or media. These include:

Print media
This media list can be extended by the organizers.
(3) The organizers hereby point out that sufficient technical measures for guarantee of data protection are made. Nevertheless, in the case of a publication of film and photo shoots on the internet a comprehensive data protection cannot be guaranteed. Therefore, the participant takes the risks for possible violation of personality rights and is aware that the personal data can also be accessed in countries that are not part of the Federal Republic of Germany.
(4) In Germany comparable data protection regulations and the confidentiality, integrity, authenticity and availability of the film and photo recordings are not guaranteed.
(5) By agreeing during the registration process to the conditions of participation, all participants confirm that the photographs and film recordings made within the framework of the above-mentioned purposes will be processed, used and stored in accordance with the German basic data protection regulation (DSGVO, eng. GDPR) and the Federal Data Protection Act. The decision to publish the photos and film recordings the participants have taken is voluntary. According to Art. 7 DSGVO, participants can refuse their consent without detrimental consequences for the participants or revoke it at any time with immediate effect for the future in text form to the organizers.
(6) The participants acknowledge that they have taken note of the above and agree that the organizers may publish photographs and film footage of participants in the above-mentioned media.
(7) The photographs and film recordings collected within the framework of the above-mentioned purposes will be processed, used and stored in accordance with the General Data Protection Regulation and the Federal Data Protection Act. The decision to publish
the photos and film recordings was made with the voluntary agreement of the participant. According to Art. 7 DSGVO, the participant can refuse her/his consent without detrimental consequences or revoke it at any time with effect for the future in text form to the organizers.
§ 14 Liability
(1) The organizers, their legal representatives and vicarious agents are only liable to the participants for gross negligence and intent, regardless of the legal basis.
(2) This limitation of liability shall not apply in the event of injury to life, body or health, without this being associated with a reversal of the burden of proof.
(3) Furthermore, this limitation of liability does not apply if liability on the part of the organizers is justified under mandatory laws, in particular the Product Liability Act and the Product Safety Act, without this being associated with a reversal of the burden of proof.
(4) The liability of the organizers in the case of simple negligence is limited to the typical and foreseeable damages that typically occur at events of the type in question, insofar as the breach was a material contractual obligation. Otherwise, this liability does not exist.
§ 15 Miscellaneous
(1) These terms & conditions of participation and the resulting legal relationship are subject to the law of the Federal Republic of Germany, excluding the conflict of laws and the UN Convention on Contracts for the International Sale of Goods. The place of jurisdiction is Mannheim.
(2) Should individual provisions of these conditions of participation be or become invalid in whole or in part, the validity of the remaining provisions shall not be affected. Legal recourse is excluded.
